1. Who we are
This Privacy Policy applies to the IntSeaJobs mobile application
(Android package: com.portingen.intseajobs), the
IntSeaJobs web platform at intseajobs.com, and related
maritime employment and crew workflow tools operated by
Portingen Technologies LLC ("Portingen", "we", "us", or "our").
By creating an account or using our services, you agree to the collection and use of your information as described in this policy. If you do not agree, please do not use the services.
Note for users: This policy is a working draft prepared for initial Google Play compliance. It will be reviewed and finalised by legal counsel before formal release. The owner should verify all statements against actual data handling practices.
2. Data we collect
We collect the following categories of personal data depending on how you use our services:
Account information
- Name and surname
- Email address
- Phone number (if provided)
- Account type (seafarer or employer/company)
- Authentication credentials (hashed passwords, session tokens)
- Google account identifier (if you sign in with Google)
Profile and CV data (seafarers)
- Professional profile and CV details
- Work experience and employment history
- Education, training, and language skills
- Maritime licences, certificates, and STCW endorsements
- Passport, seaman's book, and travel document details (if provided)
- Visa and flag document information (if provided)
- Medical certificates and health fitness records (if provided)
- Test results and competency records
- Profile photo and uploaded files (documents, certificates)
- Location/nationality information for job matching
Employer and company account data
- Company name, registration details, and fleet information
- Contact person details
- Job vacancy postings and requirements
- Candidate application records and access history
Usage and technical data
- Device model, operating system version, and app version
- IP address and approximate location (from network requests)
- Session and authentication token metadata
- App activity and interaction logs (for support and debugging)
3. How we use your data
- Account management: Creating, maintaining, and securing your account
- CV and profile management: Storing and displaying your seafarer profile to potential employers, subject to your visibility settings
- Job applications: Processing applications you submit to job vacancies
- Employer/seafarer matching: Connecting seafarers with maritime employers based on skills, availability, and requirements
- Security and fraud prevention: Detecting and preventing unauthorised access, abuse, or fraud
- Customer support: Responding to your questions, issues, or account requests
- Legal and compliance obligations: Meeting applicable legal, regulatory, or administrative requirements
- Service improvement: Understanding how the platform is used to improve features and fix issues
4. Data sharing
Employers and recruiters
If your seafarer profile is set to visible, or if you apply for a job vacancy, your profile information and relevant CV data will be accessible to the employer posting that vacancy. You are in control of your profile's visibility through your account settings. Once an employer has viewed or downloaded your profile information, we cannot control further handling by that employer.
Service providers
We use third-party service providers to help operate our platform, including hosting and infrastructure providers, email delivery services, and SMS providers. These providers process data only as necessary to deliver services on our behalf and under appropriate data processing agreements.
Google Sign-In
If you choose to sign in with Google, your Google account identifier and basic profile information is shared with Google in accordance with Google's privacy policies. We use this only for authentication.
Legal obligations
We may disclose personal data where required by applicable law, regulation, court order, or lawful government authority request.
We do not sell your data
We do not sell, rent, or trade your personal information to third parties for marketing purposes. No advertising or behavioural tracking SDK has been intentionally integrated into the application at this time.
5. Security
We implement reasonable technical and organisational measures to protect your personal data, including:
- HTTPS encryption for all data in transit
- Secure, limited-access server infrastructure
- Authentication tokens stored securely on device and on server
- Passwords stored as cryptographic hashes, never in plain text
- Access controls limiting which staff can access personal data

6. Data retention
We retain your personal data for as long as your account is active or as needed to provide services. If you request account deletion:
- Your deletion request will be reviewed and processed by our team
- Your account and personal data will be deleted or anonymised once the request is processed
- Certain records may be retained where required by law, for fraud prevention, dispute resolution, or legitimate business obligations
Requesting deletion does not result in immediate automatic deletion. Your account may remain active until the request has been reviewed. See our Account Deletion page for more information.
7. International data transfers
Your data may be processed or stored on servers located outside your country of residence, depending on our hosting and service provider locations. By using our services, you acknowledge that your data may be transferred to and processed in countries that may have different data protection laws than your own.
8. Children
Our services are not directed at children under the age of 16 (or the applicable minimum age in your jurisdiction). We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us so we can delete it.
9. Your rights
Depending on your location and applicable law, you may have rights including:
- Access: Request a copy of the personal data we hold about you
- Correction: Request correction of inaccurate or incomplete data — most corrections can be made directly in the app
- Deletion: Request deletion of your account and associated personal data

10. Cookies and local storage
The IntSeaJobs web platform uses session cookies for authentication. The mobile app stores authentication tokens in secure local device storage. No marketing or cross-site tracking cookies are intentionally used.

We may update this policy from time to time. We will notify registered users of material changes by email or via an in-app notice. The "Last updated" date at the top of this page reflects the most recent revision.
